Construction bid day checklist: the final 24 hours

Most bid-day failures are avoidable: a missing signature, an unacknowledged addendum, an expired portal login or a late upload. Freeze scope early, collect final subcontractor numbers on a set schedule, check every form against the solicitation and submit with time to spare. Assign one person to own the submission.

The day before

  • Confirm the due time, time zone, location or portal, and submission format.
  • Check portal access, credentials and file size limits.
  • Confirm all addenda are logged, priced and ready to acknowledge.
  • Get the bid bond and power of attorney from your surety.
  • Confirm who is authorized to sign.

Final numbers

  • Set a cutoff for subcontractor and supplier quotes.
  • Compare quotes on the same scope and addenda.
  • Record exclusions and how you covered gaps.
  • Check bid form math and extensions.

Before you submit

  • Every required form is complete, signed and dated.
  • Required certifications and representations are included.
  • Unit prices and totals match.
  • Nothing on the bid form qualifies or conditions the price unless allowed.
  • A complete copy of the submission is saved.

Submit early

Late bids are generally rejected. Portals can be slow near deadlines, and couriers can be delayed. Plan to submit well before the deadline and get confirmation.
